Apology for Accidental Disclosure of Students' Personal Information
Published: July 3, 2023
A file containing personal information of current Tokyo Institute of Technology (Tokyo Tech) students was mistakenly attached to an email sent on the afternoon of June 28 to presently enrolled regular-course students.
The email involved was an announcement of the "Career Consultation Session" hosted by the Student Success Support Section of the Student Support Center at Tokyo Tech. The attached file contained personal information of intended recipients, approximately 10,000 currently enrolled Tokyo Tech students, including their names and email addresses. Although the file was intended for setting up email recipients, as a result of mishandling through the Web System for Students and Faculty, the file itself was sent to students currently enrolled in the program with valid contact details.
We sent our first email report on this matter on June 28 (only in Japanese). On June 30, we sent the second email report "[Request for deletion of relevant files] June 28th, 2023 – Email with Personal Student Information Incorrectly Attached (Second Report)” to regular-course students’ m-addresses (@m.titech.ac.jp). For those who have not seen the email, we would like to inform you here on the website for current students as well.
We deeply apologize that important personal information has been leaked and sincerely regret causing distress and anxiety.
First of all, we would like to ask everyone again to delete the relevant files. Information on the relevant emails and files is as follows:
① Email subject:
【Call for Participation】Consultation meeting on job hunting activities in Japan for Tokyo
Tech students on Wed., June 28th.
② Attached file name: (キャリア告知用)20230424正規生_学生情報.xlsx
③ Issued June 28 at 12:30pm (reaching each student email address over time)
④ Sent to Tokyo Tech m-addresses(@m.titech.ac.jp).
Although the personal information contained in the file includes neither residential addresses nor dates of birth, we will not disclose detailed contents of the file in the interest of protecting our students. Please see the second email report for details.
Please contact us if you cannot confirm or have not received the second email (see contact details below).
If you have actually suffered negative consequences as a result of this incident, if you think you might be at risk due to disclosure, or if you have any concerns or further issues with regard to the incident, please contact us.
We will take comments via email, slack, phone, face-to-face meetings, or any other method you prefer.
In addition, we will promptly consider measures to address the consequences of this incident, and will thoroughly investigate the cause to prevent recurrence.
