Handling of Personal Information

The following details how we handle the personal information of Tokyo Tech Fund supporters. Tokyo Tech handles the personal information of Tokyo Tech Fund supporters in compliance with the Act on the Protection of Personal Information Held by Independent Administrative Agencies, etc. (Act No. 59 of 2003) and in accordance with the National University Corporation Tokyo Institute of Technology Personal Information Management Rules. We ask for your understanding as we strive to properly and securely protect your personal information.

Tokyo Tech Fund supporters are asked to provide the following personal information:

• Name, address, telephone number, email address, relationship with Tokyo Tech, etc.

Your personal information will be used to accomplish the following tasks:

• Sending receipts, letters of thanks and other documents
• Sending information on various events
• Sending our email newsletters (upon request)
• Producing commemorative items such as engraved bricks and naming plates (bearing the names of donors) as well as personalized calendars (given out during our personalized calendar campaign periods)
• Listing on the Tokyo Tech Fund Online Donor List *You may choose to not be listed.
• Other management tasks related to the Tokyo Tech Fund

Tokyo Tech outsources some of the tasks listed in 2. above. We may provide personal information to contractors to the extent necessary for them to perform outsourced tasks after confirming they have taken appropriate personal information protection measures. In such cases, the contractor will be appropriately supervised as necessary.

The personal information of donors who agree to provide such information when making their donations will be provided to a third party for the purpose of posting a donor list in the Kuramae Journal, which is published by the Kuramae Kougyokai (Tokyo Tech Alumni Association).

If we receive a request to disclose retained personal information from the person in question, we will do so after confirming the identity of the person in question. Further, if we are informed that the retained personal information is inaccurate, we will correct, add to, change or discontinue use of the relevant personal information as necessary after verifying the details of the request.

We will not use personal information or provide it to third parties for any purposes other than those indicated in 2. through 4. above, unless we specifically announce our intention to do so. However, personal information may be provided to third parties in exceptional cases when disclosure is legally obligated, when it is determined to be necessary to protect the life, body, property or other rights and interests of the donor or a third party, or when it is otherwise urgently necessary and the consent of the individual cannot be obtained.
